Program Support Specialist - Resource & Referral

Wu Yee Children’s Services delivers comprehensive Child Development, Family, and Provider services for young children (0-5 years old) and low-income families throughout the City of San Francisco. The scope of our programs ranges from child/parent education, wellness, mental health, nutrition and social services including Early Head Start and Head Start programs.

The Program Support Specialist is a full-time, fully in-person role that plays a key part in ensuring the success of the Resource and Referral (R&R) program. This position supports daily operations, site logistics, data systems, community engagement, and family-facing services. The R&R Program connects San Francisco families with children ages 0-5 to affordable, high-quality, licensed child care and essential resources that promote family well-being and stability. 

Primary Responsibilities Include:

  • Under the direction of the Resource and Referral Manager, the Program Support Specialist plays an essential role in supporting day-to-day operations at both the Bayview and Clay Street locations. This includes assisting with playgroups, family engagement efforts, and community outreach events, as well as helping to ensure appropriate staffing coverage across both sites. 
  • The Specialist is responsible for maintaining a clean, organized, and welcoming environment at both locations. They help ensure the common areas, program spaces, and offices are presentable to families, children, community members, and other stakeholders. This includes general upkeep, organizing program materials, and working with other team members to create a professional and family-friendly atmosphere. 
  • The Specialist also manages site logistics by orderingand and tracking supplies, coordinating the distributionof basic needs items, and maintaining the Resources and Referral team calendar. Accurate and timely data entry is a key part of the role, along with organizing documentation and maintaining up-to-date records in multiple program databases. 
  • Additional responsibilities include processing memorandums and understanding (MOUs), submitting invoices, and routing Zendesk inquiries to the appropriate staff members. The Specialist supports new hire onboarding processes, research vendors and community partners, and assists un the creation and review of the program materials, forms, and internal documents.
  • This position may also support special projects assigned by the Resource and Referral Manager or Family and Community Services Leadership Team. The Specialist is expected to participate in ongoing professional development and to take on other duties as needed to meet the evolving needs of the program. 

Knowledge/Skills/Abilities Required:

  • Strong verbal and written communication required.
  • Proficiency with Microsoft Office (Word, PowerPoint) Google Workspace, database systems.
  • Ability to work effectively with diverse, low-income communities, including monolingual speakers.
  • Strong organizational skills with the ability to manage time, meet deadlines, and handle priorities. 
  • Detailed-oriented with high level of accuracy in data entry and documentation.
  • The ability to maintain confidentiality and exercise sound judgment. 
  • Flexibility to work in a dynamic, team-based environment. 
  • Willingness to occasionally work evenings and weekends.
  • Ability to travel within San Francisco as needed. 

Education Requirement:

  • High school diploma or equivalent required.
  • Additional coursework or certification in office administration, social services, early childhood education, or related fields is preferred.

Language Proficiency:

  • Proficiency in English required. 
  • Spanish or Chinese language skills (reading, writing, speaking) highly desired.

Working Environment and Physical Requirement:

  • Work Hours: Full-time, up to 40 hours per week, generally between 8:00 am - 6:00 pm. 
  • Setting: Standard office and program environments involving prolonged computer use and in- person services.
  • Equipment: Comfortable with phones, copiers, printers, computers and other office equipment. 
  • Travel: Regular travel within San Francisco is required. 
  • Physical requirements: Must be able to lift up to 50 pounds and occasionally stoop, kneel, or climb stairs. 
  • Work location: Fully in-person at either Bayview Children's Hub or 999 Clay Street, as assigned based on program needs. 

Compensation and Benefits:

  • $29.10 - $33.22 per hour.
