About the Role

The Leadership Operations Associate provides direct support to the CEO and COO.  This is a high-exposure, execution-focused role ideal for someone who is professionally polished, relationship-savvy, and hungry to learn how organizations actually work.


You’ll coordinate internal operations and external partnerships, assist with strategic planning, and serve as a connector across people, projects, and departments. You’ll handle high-level responsibilities one hour and humble tasks the next—all while gaining visibility into the rhythms of executive leadership in a dynamic mental health setting.


This is an ideal position for an early-career professional from a Tier 1 business or liberal arts program who wants to start at ground level and learn how great organizations are built.


Key Responsibilities

Executive & Strategic Support

  • Manage scheduling, meeting prep, and logistics for the CEO, COO, and Executive Leadership Team (ELT)
  • Prepare agendas, presentations, and written materials for internal and external use
  • Take meeting minutes, track follow-ups, and ensure accountability across leadership projects
  • Assist the Chief of Staff in monitoring OKRs, team deliverables, and system-wide priorities

Partnerships & External Engagement

  • Triage incoming inquiries from external stakeholders and route appropriately to leadership or clinical teams
  • Coordinate partner logistics, outreach follow-ups, and vendor relationships
  • Support marketing activities (e.g., arranging photography, updating bios on the website, managing communications vendors)
  • Represent the organization professionally and warmly in stakeholder interactions

Internal Operations & Project Coordination

  • Assist in planning and executing internal events, including quarterly off-sites and the clinic’s annual conference
  • Track cross-functional projects and assist with internal CEU and attendance systems for clinician education
  • Maintain internal knowledge systems, documents, and shared reference files
  • Support daily operations tasks (mail, ordering, materials prep, etc.)

Data & Financial Admin Support

  • Run basic payroll, revenue, and other operational reports for the CEO
  • Assist with categorizing financial transactions in QuickBooks under COO supervision

Requirements

Who You Are

  • Bachelor’s degree required, preferably from a rigorous business or liberal arts program
  • Discreet and trustworthy: You’re comfortable handling sensitive information
  • Organized and systems-minded: You follow through, close loops, and see how things connect
  • Mission-aligned: You care about mental health, family systems, and the bigger picture of service
  • High ceiling, humble start: You’re willing to start with operational support work, but you have the curiosity and discipline to grow into far more

Bonus if You Have

  • Experience with Google Workspace, Microsoft Office, WordPress, or QuickBooks
  • Past work in healthcare, education, nonprofit, or mission-driven organizations
  • Campus leadership, internships in consulting, operations, or stakeholder-facing roles
