Executive Assistant - Facilities

Description

ProCo LLC, a Medical Service Organization, is seeking an Executive Assistant with construction or facilities experience to support our Company Principal while working directly with our facilities team across 24 medical locations. This role combines executive support with facilities project coordination, perfect for an experienced EA looking to expand into construction and facilities management. 


Key Responsibilities 

Executive Support (60%) 

  • Manage Company Principal's calendar, meetings, and travel arrangements 
  • Prepare executive presentations and reports for leadership meetings 
  • Handle confidential communications and serve as executive liaison 
  • Coordinate meetings with internal teams, vendors, and external partners 
  • Support budget tracking and administrative processes 

Facilities Project Coordination (40%) 

  • Work directly with facilities team to track project timelines and maintain task lists across 24 locations 
  • Schedule contractor meetings and vendor appointments for facilities operations 
  • Maintain project documentation and status reports for Company Principal review 
  • Coordinate inspections and regulatory compliance with facilities team 
  • Support vendor relationship management and performance tracking 

Qualifications & Skills 

Required 

  • 5+ years executive assistant experience supporting senior leadership 
  • Strong interest in construction, facilities, or property management 
  • Proficiency with Microsoft Office Suite and project management software 
  • Exceptional organizational and communication skills 
  • Ability to handle confidential information with discretion 

Preferred 

  • EA experience in construction, real estate, or facilities industries 
  • Knowledge of construction processes and terminology 
  • Experience with multi-location organizations 
  • Familiarity with contractor coordination

Requirements

Required 

5+ years of executive assistant experience supporting senior leadership 

Strong interest in construction, facilities, or property management 

Proficiency with Microsoft Office Suite and project management software 

Exceptional organizational and communication skills 

Ability to handle confidential information with discretion
