Description

Reports To: President/CEO

Status: Full Time

Shift: Varies

Job Schedule: 8-4:30 (some evenings when needed)

Weekly Hours: 40

Pay: HRMC offers a competitive salary.


Statement of Purpose:

The Administrative Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by managing schedules, handling correspondence, preparing reports, coordinating meetings, and ensuring efficient day-to-day operations. This role requires discretion, professionalism, and exceptional organizational skills to support executive-level decision-making.


 Key Responsibilities:

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.  
  • Serve as a gatekeeper by screening and prioritizing incoming requests, emails, and phone calls.  
  • Coordinate internal and external meetings, including preparing agendas, taking minutes, and tracking action items.  
  • Prepare confidential reports, presentations, and communications on behalf of the CEO.  
  • Handle sensitive information with a high degree of confidentiality and professionalism.  
  • Liaise with senior leadership, physicians, board, and community members on behalf of the CEO.  
  • Assist with the preparation and coordination of board meetings and executive-level communications.  
  • Maintain organized filing systems, both digital and physical.  
  • Monitor and manage special projects as assigned by the CEO.  
  • Perform general administrative tasks including expense reporting, document management, and office coordination

Requirements

 Job Requirements:

  • Minimum of a two-year degree in office management or similar degree. Two years of executive secretarial experience preferred.
  • Must be highly proficient in typing and word processing.
  • Must have in-depth knowledge of organization, relationships and key personnel of a hospital.
  • Must have thorough knowledge of correct office procedures, English grammar, spelling and punctuation.
  • Ability to work independently without supervision on administrative and medical staff tasks and to make decisions within the framework of departmental policies and hospital and medical staff bylaws.
  • Ability to follow complex instructions.
  • Considerable verbal and written capabilities.
  • Supervisory ability.
