Dialysis Administrative Assistant

Description

The Dialysis Administrative Assistant organizes and helps coordinate the administrator’s functions in the facility. Keeping files and papers in an organized manner to ensure accountability of the daily operation of the facility. The Administrative Assistant is responsible for providing support at the unit level, by maintaining organized records, coordinating information with nursing, nutrition, social, and billing services as well as hospital, laboratories, and regulatory agencies. The Administrative Assistant will support the unit management team in achieving quality, patient satisfaction, staff development, business management, teamwork, culture, and employee satisfaction. The Administrative Assistant is responsible for understanding, supporting and implementing the philosophy and policies of the corporation.

All RRH employees must perform their job responsibilities according to all RRH Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.


  • High School Diploma or equivalent. 
  • A minimum of 1-year experience in administrative secretarial position preferred. 
  • Secretarial or business school preferred.

Requirements

  

Essential Duties and Responsibilities:

  1. Maintains accurate and up to date policy and procedure manuals.
  2. Audits the unit’s compliance with policy and procedures.
  3. Demonstrates applicable knowledge of policies and procedures related to the unit.
  4. Demonstrates the ability to perform technical skill related to the unit.
  5. Manages and updates any necessary records and reports (including the Networks’ database) needed for daily unit functioning.
  6. Assists management team by typing, editing and distributing memos and reports as directed.
  7. Maintain personnel records of staff; initiate forms required for new employees, salary increases, etc.
  8. Take and transcribe dictation; complete forms and reports that are required by governmental agencies.
  9. Maintain census records of patients and employees.
  10. Maintains confidentiality and completes documentation as required.
  11. Communicates appropriately with unit personnel, patients, and family.
  12. Make all travel arrangements for facility personnel. Complete travel authorization and expense reports.
  13. Schedule appointments for Administrator and arrange conferences.
  14. Assist administrative staff in routine functions as warranted.
  15. Participate in special projects, staff meetings and in-services as appropriate.
  16. Follows safety guidelines for self, patients, visitors, and employees, and follows universal infection control precautions and procedures regarding handling hazardous chemicals.
  17. Responds with patient and non-patient emergencies according to policies and procedures within job requirements.
  18. Assists in the evacuation of patients in the event of emergency fire and/or disaster in the clinic and/ or hospital.
  19. Assumes responsibility and utilizes opportunities for personal and professional growth.
  20. Promotes, supports and adheres to all policies outlined in the Employee Handbook.
  21. Ability to communicate clearly and concisely both orally and in writing.
  22. Computer literate in basics of PC use and data entry.
  23. Representative of the department/ Administrator during his or her absence.
  24. Assumes responsibility for medical records by keeping patient’s charts up to date.
  25. Schedule appointments for staff and patients as directed.
  26. Track data for permanent, transient and guest treatments.
  27. Maintain office supplies and equipment needed to run the unit.
  28. Prepares requisitions for lab tests and other procedures, as requested, informs and distributes the results daily to the Charge Nurse.
  29. Manages CQI and other department meetings as delegated.
  30. Reconcile charges and number of treatments against medication log daily to insure accuracy.
  31. Obtain patient information for verification of insurance coverage and create patient file.
  32. Interview and verify patient’s insurance status.
  33. Answer questions regarding coverage and benefits available.
  34. Maintain up-to-date records of patient’s funding and demographics.
  35. Maintain direct contact with various insurance companies to ensure correct insurance ability.
  36. Assist office personnel as needed and complete other duties delegated by Administrator.
  37. Data entry and reporting to internal and external sources as delegated.
  38. Completes insurance  justifications in a timely manner.
  39. Manages all  internal billing and AR meetings with Administrator and CEO.
