Position Specific Summary
The Management Assistant position at the City of Tucson’s Business Services Department provides administrative assistance, offers guidance and direction to department support staff, while coordinating the day-to-day work within the division.
Work is performed under the supervision of the Management Coordinator. This position exercises supervision over administrative personnel.
Duties and Responsibilities
Provides administrative assistance to the Business Services Department (BSD) working directly with the department leadership and staff at all levels. Manages schedules, processes department payroll by reviewing and signing off on timecards. Reviews and submits invoices, assists with budget tasks, including preparing memos, spreadsheets, reports and presentations. Organizes onboarding and offboarding of department employees. Assists with the implementation, evaluation and interpretation of department policies and procedures. Determines priorities of workload, establishes timelines, writes, reviews, and edits reports prepared by staff.
Coordinates, executes, and maintains the work associated with special projects. Researches, reports, maintains and creates spreadsheets for projects and all associated communications. Reviews and responds to public records requests, tribal grants, and intergovernmental agreements assigned by the department or City Manager’s office.
Contributes to the needs of the community and City by implementing and providing guidance to others. Implements the organization's values and strategies through engagement. Collaborates with team to ensure competencies, and accountabilities. Provides customer service by responding to information requests, conducting research, and providing solutions to problems.
Supervises one or more full-time employees, provides direction and guidance. Reviews the work of assigned staff. Ensures professional development, discipline and performance evaluations. Reviews and approves time-off requests, missed punches, schedules. Evaluates that time worked is complete. Promotes positive morale in the unit. Assists in staff training.
Completes other duties as assigned.
