Overview

 

Scope of Position: The Coordinator, Events – Homes will specialize in creating exceptional experiences and events both internal and external for WinShape Homes customers and stakeholders that promote the brand of WinShape Homes as the best-in-class Foster Care agency in the state of Georgia and our culture as a caring ministry. Lead the development and delivery of the complete experience to create engaging and meaningful moments for participants that propels the mission of WinShape Homes forward. This role will require strong creative, administrative, and event coordination skills.

We do this through five core ministries that each use scriptural truth to offer summer camp, foster care, team and leader development, college student discipleship, and marriage enrichment. Responsibilities

Experiences and Event Management

  • Leads the end-to-end planning, coordination, and execution of all internal and external events and experiences.
  • Manages event budget, ensuring effective stewardship of resources.
  • Serves as the primary point of contact for contracts, vendors, speakers, and all event-related partnerships.
  • Oversees the management of visitor coordination systems (e.g., iVisitor) and vendor portals.
  • Collaborates with the Director of Strategic Partnerships and Marketing team to brand the event and develop assets for full production components.
  • Mobilizes and coordinates WinShape Homes team members, delegating tasks to ensure smooth event execution.
  • Provides on-site leadership during key events, including but not limited to:
    • Group Care Retreats & Respite Parent Retreats
    • Church Launches & Mobilization Events
    • Pastor Summit
    • Care Community Events
    • Strengthening Experiences
    • Foster Care Family Dinners & Parent’s Night Out
    • Church Trainings (Clinical & Foster Care Teams)
    • Sponsorship Events
  • Collaborate with the WinShape Foundation Cross-Functional Events Team to support and promote internal events that build awareness and engagement across the organization.

Administrative Support

  • Coordinates scheduling for meetings, calls, and trainings across teams and with external partners.
  • Manages logistics including food orders and event supplies for church and care events.
  • Assists with the rollout of launch plans by scheduling and coordinating marketing materials and church launch assets delivery.
  • Organizes team member participation for lobby tables, speaking engagements, and other outreach efforts.
  • Supports the Strategic Partnerships team with daily administrative functions such as maintaining calendars, responding to inquiries, reporting, invoicing, budgeting, and project coordination.
  • Facilitates scheduling for ongoing church training sessions involving the Foster Care and Clinical Teams.
  • Receives incoming leads from web inquiries, emails, phone calls, and referrals, ensuring timely responses and follow-up.
  • Provides administrative support for CRM systems (Salesforce, HubSpot) to track and manage leads effectively.

Qualifications

Required Qualifications:

  • A self-professing Christ follower, actively involved in a Christian faith community and actively pursuing Christ on a consistent basis.
  • Bachelor’s degree or equivalent work experience.
  • 3-5 years of Event Planning and Execution preferred.
  • Experience in Project & Resource Management preferred.
  • Demonstrated ability to plan, coordinate and execute multiple events from start to finish.
  • Experience leading on-site event operations and resolving real-time issues.
  • Strong attention to detail with a focus on delivering high-quality participant experiences.
  • Ability to work cross-functionally with internal teams and external partners.
  • Familiarity with branding events and coordinating full production elements.
  • Proven project management skills, including task delegation and timeline adherence.
  • Experience managing event budgets with a commitment to resource stewardship.
  • Skilled in coordinating with vendors, contractors and speakers.
  • Highly organized with experience supporting complex schedules and logistics.
  • Capable of managing meeting coordination, travel, catering and supply procurement.
  • Comfortable supporting multi-department initiatives with accuracy and efficiency.
  • Proficient in using CRM platforms (e.g, Salesforce, HubSpot) for managing leads and communications.
  • Excellent written and verbal communication skills.
  • Comfortable managing and responding to incoming inquiries across phone, email, and web platforms.
  • Experience collaborating with marketing teams to brand events and develop visual assets.
  • Ability to align events with broader organizational goals and branding standards.
  • Strong interpersonal and relationship-building skills.
  • Ability to operate with care and sensitivity in a ministry-oriented or service-driven environment.
  • High degree of initiative, adaptability, resourcefulness and independent problem-solving.
  • Commitment to creating engaging, mission-driven experiences.
  • Competent with Microsoft Office applications (Word, Excel, PP or Keynote).
  • Familiarity with event management and communication platforms.
  • Demonstrated ability to communicate effectively, both orally and in writing.
  • Must hold or obtain a valid driver’s license for the state in which they are hired and have an acceptable driving record.

 

Preferred Qualifications:

  • Experience in nonprofit, ministry, or foster care related environments.
  • Understanding of church partnerships and mobilization strategies.
  • Background in hospitality, public relations, or event marketing.
