Office Manager

We are looking to add a full time Office Manager to our team! Our ideal candidate is someone with strong communication skills, who can provide outstanding customer service to all incoming callers and walk-in guests and vendors, redirects calls and inquiries to the appropriate department with a positive attitude. This individual acts as a liaison between Atlas and those inquiring about our services. This position will also serve as point of contact for residents’ inquiries and direct to the appropriate department.

In addition to managing incoming calls, this employee with all be responsible for administrative tasks to help support the corporate staff, such as receiving the mail, scanning in checks into our system for the accounting team, and delivering checks to the accounting team. Reliable transportation will be important for this position to be able to fulfil trips to the bank, post office and occasional trips to the store support office needs.


Candidate must have employment history that demonstrates experience in customer. Candidate must have strong communication skills. Candidate must be comfortable using technology such as Microsoft Excel, Word & Outlook.


 

GENERAL ROLE RESPONSIBILITIES:

·  Customer service; help incoming prospects, residents or vendors in-person, over the phone and via email

·  Assist in getting messages, invoices, and documents to the appropriate individuals within the company

·  Perform clerical duties, take memos, maintain, and organize incoming documents and office supplies for the corporate office

·  Inventory Management

·  Ordering Atlas SWAG and maintenance uniforms

·  Fleet coordination tasks

·  Maintain valid driver’s license and clean driving record to transport Atlas fleet vehicles as needed

·  Office account management (cleaner contracts, printer contracts, phone contracts, etc.) 

·  Any additional tasks as assigned by the Operations department

·  Post office runs for certificate of mailing (as needed)



DAILY RESPONSIBILITIES:

·  Check office voicemails and return every call. Enter call details into AppFolio notes (prospective residents, former residents, and current residents)

·  Check office emails and respond/forward every email. Enter email details into AppFolio notes (prospective residents and residents)

·  Check personal accounts for communication/assignments (“personal outlook”, “planner”, “teams”, “ring central”, “Paylocity”, etc.)

·  All opening and closing tasks as assigned by direct supervisor (coffee, cleanliness check, running dishwasher, etc.)

·  Check office mailbox and drop box, distribute to appropriate individuals

·  Managing conference room reservations


WEEKLY RESPONSIBILITIES:

·  Replace water jugs 

·  Shopping list/inventory

·  Activate/deactivate fobs as assigned by HR

·  Send any necessary communications to vendors/accounts


MONTHLY RESPONSIBILITIES:

·  Descaling coffee pots

·  Oil conference room table 

·  Deep clean kitchenette refrigerator


QUARTERLY & ANNUAL RESPONSIBILITIES:

·  Scheduling quarterly carpet cleaning for the office 

·  Coordinating quarterly Atlas Employee Appreciation events

·  Planning and coordinating annual Atlas holiday party

Requirements

Job Requirements and Qualifications:

· High School Diploma or equivalent

· Prior administrative or clerical work experience is preferred

· Excellent time management and communication skills

· Highly organized working in a fast-paced environment

· Proficient with Microsoft office suites and Outlook

· Strong problem-solving skills

· Desire to learn and grow with our company

· Must be able to lift and carry at least 50 pounds
