Overview

Brief Job Description:

 

The Operations Coordinator for the City of Boston Environment, Energy, and Open Space (EEOS) Cabinet provides logistical and programmatic support to the Chief and senior Cabinet leadership. Under the supervision of the Chief of Staff, the Operations Coordinator serves as the Chief’s & Climate Leadership team’s scheduling and operational lead, and may undertake certain recurring administrative tasks and will also carry out special projects relative to climate policy and programming.

 

Past special projects have included planning the Boston Climate Leader Awards; analyzing federal and state policies and their impact on Boston’s policy priorities; tabling at community events on behalf of Cabinet programs; policy research; communications and social media content development.

Responsibilities

  • Support day-to-day administrative activities of the Environment Department, Office of Climate Resilience, and EEOS Cabinet teams.
  • Manage the Chief’s and Climate Leadership team’s calendar and appointments, including the planning and coordination of details related to meetings and events.
  • Follow up on action items from meetings, manage internal and external stakeholder relations and communications, provide project or program summaries as needed, and on-site logistical support for external appointments.
  • Composes memos and other written communications for the Chief and the Mayor’s office.
  • Answers telephones and directs inquiries and correspondence.
  • Identifies matters requiring priority handling and makes strategic recommendations on courses of action.
  • Provides programmatic coverage during staffing transitions as needed. 
  • Assist in the planning and execution of major events involving the Chief and Climate leadership team.
  • Supports interagency coordination for major events and cross-cabinet initiatives.
  • Assists the Chief and Chief of Staff with special projects relative to climate policy and programming as needed.
  • Provides administrative support to the Chief and other teams as needed.
  • Provides written, analytic, and logistical support to the various department teams to facilitate their short—and long-term project success.
  • Draft internal memos on department policy and external-facing content for department stakeholders.
  • Analyze and summarize existing state and federal regulations that impact department projects.
  • Provide programmatic coverage during staffing transitions as needed.
  • Exercise confidentiality and discretion with highly sensitive information and demonstrate sound judgment.
  • Performs related work as required.

Minimum Entrance Qualifications

  • At least four (4) years of full-time, or equivalent part-time, professional experience, preferably in office administration with major duties that include one (1) or more of the following functions: serving as an executive assistant or project manager in a climate/environmental field. 
  • A bachelor's degree in environmental science, public policy, or a related field is preferred and will substitute up to two (2) years of experience.
  • Experience with Microsoft Office, Google Suite, and Slack preferred.
  • Outstanding organizational skills with the ability to identify, plan, prioritize job responsibilities and tasks, and determine and implement project timelines. 
  • Ability to work collaboratively and proactively with various advisory groups and levels of staff in a team environment.
  • Ability to establish and maintain effective working relationships and to exercise sound independent judgment in planning, directing, and coordinating projects.
  • Strong written and verbal communication, interpersonal, and problem-solving skills are preferred.
  • Understanding of government and/or City of Boston organizational structures and procedures is preferred.  
  • Familiarity with climate priorities in the City of Boston is preferred. 
  • Must be able to work independently in a fast-paced setting.  
  • Ability to exercise good judgment and focus on detail as required by the job. 
  • Ability to work a flexible work schedule in support of the position's responsibilities.
