Role Description

The Recruiting Operations Associate is responsible for optimizing the entire recruitment process, ensuring efficiency and effectiveness while supporting the Head of Recruiting, partnering closely with the Recruiting Team and communicating directly with candidates. You will get to work hand in hand with a tight knit world class team who moves swiftly in an ever evolving startup. The Recruiting Operations Associate will also be responsible for managing recruitment systems, developing workflows, analyzing data, and collaborating with various teams. This is a highly critical role that will work to improve the candidate and recruiter experience while also contributing to the overall talent acquisition strategy.

Responsibilities

  • Assist recruitment team by coordinating and scheduling interviews throughout all stages of the interview process, ensuring a positive and professional interaction for potential hires.

  • Assist with additional scheduling of internal team meetings, candidate debriefs, and others as needed.

  • Act as the ATS administrator in Ashby handling all system management, own LinkedIn admin and other recruiting tools, and oversee all Notion database management and maintenance.

  • Package a weekly Recruiting progress report for the Executive leadership team.

  • Partner with People Operations to help facilitate the onboarding of new hires.

  • Partner cross-functionally to identify areas for improvement within recruitment activities to continuously improve process.

  • Schedule and manage internal recruiting programs such as sourcing jams, referral program tracking and more.

  • Participate in and provide support in design, development, and implementation of recruitment projects and programs.

  • Act as the touch point for all candidate questions and communications to provide a first class candidate experience with Phantom.

Qualifications

  • Must be highly organized, efficient and process driven.

  • Excellent at anticipating needs and creating structure out of ambiguity.

  • Exceptional critical thinker who can tackle complex problems, is quick to respond and has a high attention to detail with little to no error.

  • Prior experience in coordination, events or concierge-like environments.

  • Must be in the SF Bay area (2-3 days in the offer per week, located directly off Montgomery Bart in the Financial District)
