Executive Assistant- Temporary role
Description
We are seeking an Executive Assistant on a temporary basis of 8 weeks to support our CEO. Core responsibilities include the coordination of complex calendars and schedules, preparing high-quality presentations, attending key meetings, taking detailed minutes, processing expense reports, and ensuring the smooth implementation of administrative policies. This role requires a high degree of discretion, superior organizational skills, attention to detail, and proactive thinking
- Executive support of calendars, daily tasks, queries and activities
- Plan and organize meetings/events including agendas, travel, minutes & action items
- Proactively anticipate needs and identify ways to improve efficiencies
- Organizational ability to manage inquiries and information quickly and effectively
- Build and maintain strong relationships at all levels inside the company and with customers
- Attention to detail to ensure accuracy and quality in all tasks
- Professional written and verbal communication skills
- Ability to remain calm under pressure and adjust to changing priorities
Requirements
- Experience working in manufacturing or engineering environment preferred
- Strong multitasking skills to manage competing priorities and tight deadlines
- Proficiency in multiple calendar management, scheduling meetings, and coordinating logistics
- Ability to translate ideas into actionable plans and ensure successful implementation
- Proven ability handling confidential information, adhering to policies and maintaining confidentiality
- Advanced proficiency in Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams, SharePoint)
- Concur Travel & Expense experienced preferred
