Executive Assistant

Terms of Employment: 12 Months
FLSA Status: Non-Exempt 
Salary Scale: AFSCME Pay Grade UB, G15-16

Job Summary
Provides high-level administrative and operational support to executive-level staff. Coordinates department activities, manages sensitive communications, supports budgeting and procurement processes, and ensures efficient daily operations. Exercises sound judgment, discretion, and initiative in managing confidential and complex administrative functions.

Essential Duties
•    Manages the daily operations of the assigned executive office, including scheduling, communications, and project coordination.
•    Prepares, edits, and distributes complex and confidential reports, correspondence, presentations, and board materials.
•    Organizes and supports meetings, interviews, events, and professional development sessions, including logistics and documentation.
•    Researches, compiles, and analyzes data for internal reports, board documents, and presentations.
•    Processes purchase requisitions, purchase orders, invoices, and tracks departmental expenditures and budgets.
•    Responds to inquiries and concerns from internal and external stakeholders, exercising discretion and sound judgment.
•    Maintains organized systems for recordkeeping, including personnel, budget, and operational files.
•    Supports departmental projects such as print shop coordination, copier leases, facility operations, instructional initiatives, and communications, depending on assignment.
•    Supervises and supports administrative staff as assigned; provides training and guidance on procedures and office systems.
•    Maintains department calendars and ensures deadlines are met for board items, financial reports, and special projects.
•    Collaborates across departments to ensure compliance with district procedures and alignment with organizational goals.
•    Performs other related duties as assigned.

Minimum Qualifications
•    Education: Associate degree in business or related field.
•    Experience: Minimum five (5) years of experience in office administration or management.
•    Other Requirements:
     o    Must possess a valid driver’s license with an acceptable driving history.
     o    Experience in a public school district at the administrative level preferred.
     o    Certified Administrative Professional (CAP) certification preferred.

Knowledge, Skills, and Abilities
•    Knowledge of office management, administrative processes, and public-sector operations.
•    Skill in preparing and reviewing complex documents and reports.
•    Skill in Microsoft Office Suite and other standard office technologies, including virtual meeting platforms.
•    Skill in verbal and written communication and interpersonal relations.
•    Skill in delivering excellent customer service, effective communication, and cross-group collaboration.
•    Ability to work professionally and discretely with extremely confidential information.
•    Ability to work independently and collaboratively in a team environment with self-motivation.
•    Ability to comply with all safety rules and regulations established by Charles County Public Schools.

Physical Demands & Work Environment
•    Must be able to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light weights (up to 20 pounds).
•    Requires good hand-eye coordination, arm, hand, and finger dexterity, fine motor skills, and visual acuity. 
•    Frequently required to sit or stand, reach with hands and arms, talk, and hear during job tasks.
•    Work is performed in a standard office setting with a low to moderate noise level.
