Arrange travel (flights, hotels, ground transport) for our CEO and key executives at the direction of the Executive Assistant
Track and follow up on to-dos and action items delegated by our CEO’s Executive Assistant
Monitor executive inboxes and flag urgent or strategic items
Coordinate meeting schedules, reschedules, and calendar holds
Help prepare itineraries and briefing materials
Support executive team organization and prioritization
Jump in to assist with special projects or logistics as needed
Take pride in being the go-to person who just gets it done
Communicate clearly, professionally, and without drama
Welcome feedback and use it to improve fast
Treat other people’s time as seriously as your own
Are calm, organized, and exacting — even when plans change
Need heavy guidance to stay on track
Avoid responsibility for items that aren’t “yours”
Delay responding to messages or following up

1–2+ years of experience as an executive assistant or admin coordinator
Strong organizational instincts and reliability under pressure
Comfort with Gmail, Google Calendar, Slack, and digital tools
Good judgment and respect for confidentiality
Passion for problem-solving and proactive execution
Minimum Qualifications
Prior admin or executive assistant experience (1–2 years minimum)
Consistent follow-through, calendar fluency, and discretion
Ability to handle multiple deadlines with calm precision
Proficiency with basic digital workflows (email, calendars, task tools)
Preferred Qualifications
Experience supporting executives or founders
Exposure to high-growth or fast-paced companies
Familiarity with AI tools or automation platforms
History of owning systems or improving team efficiency
